Approving New Service Provider Users in SwiftComply Backflow

A walkthrough of how to approve new users that have registered with your organization.

For Cities/Orgs Using the Tester Registration Site (TRS)

This workflow applies to any city or organization utilizing the Tester Registration Site (TRS) through SwiftComply. Our team will enter the initial service provider details based on the tester's submission through the TRS.

It is then up to your team to review and approve both the user credentials and the test kit information before the tester is fully authorized.

Please Note: While new users can log into SwiftComply, they cannot submit backflow test reports until their user account and test kit details have been reviewed and approved by your team.

Step 1: Review New Service Provider Users

  1. Go to the Notifications tab in your SwiftComply dashboard.

  2. Look for the section titled “Service Provider Users to Review.”

  3. Click on each user to view their:

    • Certifications

    • License details

    • Contact information

  4. Confirm that the Allow Login Access box is checked

  5. Once you've reviewed their credentials and are satisfied, click Approve Until Specific Date, enter the expiration date of their certification, and then click Approve.

Tip: If the user is a Service Provider Admin, you can choose the expiration date as you see fit. We often recommend having a 3 year expiration to lessen the admin work.


Step 2: Approve Test Kit Calibrations

  1. Return to the Notifications tab.

  2. Locate “Test Kit Calibrations to Review.”

  3. Click on the associated test kit submitted by the newly approved user.

  4. Verify:

    • Calibration date

    • Calibration certificate

    • Test kit serial number and model

  5. Click Approve once all details are verified and accurate.


Step 3: Notify the User

Once both the user credentials and test kit calibration are approved, send a quick welcome message to let them know they’re ready to begin testing.

Example message:

Subject: You're Approved to Submit Tests in SwiftComply!

Hi [User Name],

Your credentials and test kit information have been reviewed and approved by our team. You’re now authorized to submit backflow test reports in SwiftComply for [City/Org Name].
