Overview
Grease control devices (GCDs) -- also called grease traps or grease interceptors -- capture fats, oils, and grease before they enter the sewer system. In SwiftComply FOG, each GCD is a record that tracks the device's details, pump out history, inspections, enforcements, and compliance status.
To view your GCDs, click GCDs in the left sidebar. You'll be brought to the GCDs table where you can search for a device and click the line item to open its record.
GCD Record Layout
When you click a GCD name from the list, you open its detail page. The detail page is split into several sections:
Upper Left Panel
Shows the GCD's identity and current state -- name, system generated reference number, compliance indicators, key fields, and quick actions.
Compliance indicators
Each GCD shows a Compliance status based on its pumping frequency and the most recent pump out date:
Status | Indicator | Meaning |
Compliant | π’ Green | Pumped within the required frequency. |
Overdue | π‘ Yellow | Approaching or past the due date. |
Non-compliant | π΄ Red | Past the required pump date. |
Never pumped | βͺ Grey | No pump out records exist. |
π Note: The compliance status updates automatically when a pump out is submitted, edited, or deleted, or when the pumping frequency is changed.
Actions dropdown
The Actions dropdown appears at the top of the GCD record and provides quick options for managing the device:
Edit: Open the GCD form to update any field.
Mark as removed: Soft-delete the GCD. It is hidden from default views but all linked pump outs, inspections, and other data are preserved.
Re-activate: Shown instead of Remove when a GCD is already removed. Restores the GCD to active status.
Delete: Permanently delete the GCD. Use with caution.
Key GCD fields
In this area, youβll see the main details of a GCD record. If no data is noted for the field, it may not appear in the GCD record panel. You can add/edit any of these details by click Actions, then Edit.
Field | Description |
Name | The GCD's name (e.g., 'Kitchen GCD', 'Main Interceptor'). |
Reference number | System-generated unique identifier. |
Category | The GCD classification (e.g., Interceptor, Separator, Grease Trap). This list is configured in Settings, GCDs, then GCD categories. |
Location | Inside or Outside the establishment. |
Location details | Free-text description of where the device is located. |
Frequency | How often the GCD must be pumped (number + days/weeks/months). Default: 12 weeks. |
Capacities | One or more capacity entries (e.g., 1000 gallons). Supported units: gallons, gpm, lbs, litres, ls. |
Condition | Physical condition of the device. Configured at Settings > GCDs > GCD condition. |
Custom ID | Optional unique identifier for your own tracking. Only visible if enabled. |
Tags | Multi-select tags for categorization. |
Files | Upload GCD plans, diagrams, or other documents. |
Custom properties | Any custom fields configured for GCDs in your organization. |
** The fields in bold indicate standard fields that cannot be removed.
π Note: You can add custom properties by going to Settings, Properties, then selecting GCD. From here, you can add, edit, and remove any additional properties within the GCD record.
Lower Left Panel: Linked Records
Shows records connected to this GCD in expandable sections.
Establishments -- the food service establishment(s) this GCD serves. A single GCD can be linked to multiple establishments (e.g., a shared interceptor in a food court).
Equipment -- kitchen equipment at linked establishments that is connected to this GCD.
Upper Right Panel: Actions
Quick-action buttons for creating new records linked to this GCD.
New note: record a note on this GCD (observations, maintenance notes, etc.).
New pump out: record a pump out for this GCD.
New inspection: create a new inspection record for this GCD. Please note that any inspections started from witin the GCD will live within the GCD record and not the location record.
Schedule inspection: schedule a future inspection for this GCD.
Lower Right Panel: History
Tabs showing the full history of activity and records tied to this GCD.
Activities: audit trail of changes made to this GCD.
Notes: notes added by staff about this GCD.
Inspections: all inspection records for this GCD.
Pump outs: history of all pump outs for this GCD, including date, volume, unit, provider, and match status.
FAQ
What is the difference between a GCD and a grease trap?
GCD (Grease Control Device) is the term used in SwiftComply FOG. It includes grease traps, grease interceptors, and other grease control equipment. The terms are often used interchangeably.
Can a GCD be linked to multiple establishments?
Yes. GCDs connect to establishments through a many-to-many relationship. One GCD can serve multiple establishments.
What is the difference between Condition and Compliance?
Condition is a manually-set field describing the physical state of the device. Compliance is automatically calculated by the system based on pump out frequency. They are tracked separately.
What happens when I mark a GCD as removed?
The GCD is soft-deleted and hidden from default views, but all associated pump outs, inspections, enforcements, and other data are preserved. You can reactivate it at any time from the Actions dropdown.
What's the difference between Remove and Delete in the Actions dropdown?
Remove is reversible -- it soft-deletes the GCD but preserves all data. Delete is permanent and cannot be undone.
