Navigating an Establishment Record

Learn what establishments are in SwiftComply FOG and how they connect to GCDs, pump outs, and inspections.

Overview

Establishments represent the food service establishments (FSEs) your FOG program regulates. They are the central record in SwiftComply FOG -- grease control devices, pump outs, inspections, enforcements, permits, contacts, and equipment all link back to an establishment.

To view your establishments, click Establishments in the left sidebar. Youโ€™ll be brought to the Establishment table where you can search for and Establishment and click the line item to open the record.

Establishment Record Layout

When you click an establishment name from the list, you open its detail page. The detail page is split into several sections:

Upper Left Panel: Establishment Details

The Upper Left Panel is the heart of the establishment record. It shows the establishment's identity at a glance and the most important information your team needs day-to-day. From top to bottom you'll find:

  • FSE name as the page heading.

  • System-generated reference number (for example, QA-QAA-000009).

  • Overall compliance status shown as a colored dot and label (Compliant, Non compliant, Overdue service, No pump outs, or No devices).

  • Actions button (top right of the panel) for record-level actions: Edit, On-line profile, Mark as closed (or Re-open for closed establishments), and Delete.

  • Standard fields such as Service frequency, Pumped on, Next pump out, Inspected on, Type, and Provider.

  • Custom properties your organization has defined for establishments. These appear inline with the standard fields, so the panel reflects everything your program tracks for an FSE in one place.

Establishment statuses

Each establishment has one of two statuses:

Status

Open

The establishment is active and included in default views and compliance tracking

Closed

The establishment is no longer active. Closed establishments are hidden from default lists but their data is preserved

Compliance indicators

Each establishment shows a colored compliance dot based on the Compliance status of its linked GCDs:

One or more GCDs are approaching or past their pump out due date

Red

Non-compliant

One or more GCDs have exceeded the required pump frequency

Grey

Never pumped

No pump out records exist for the linked GCDs

๐Ÿ“ Note: The compliance dot reflects the worst status among all GCDs linked to the establishment. If one GCD is compliant and another is non-compliant, the establishment shows as non-compliant.

Lower Left Panel: Linked Records

The lower left panel contains expandable sections for records linked to this establishment:

  • Grease control devices -- GCDs assigned to this establishment, with compliance indicators

  • Equipment -- equipment records associated with the establishment

  • Contacts -- people linked to this establishment (owners, managers, etc.)

Upper Right Panel: Actions

Quick-action buttons for creating new records linked to this Establishment.

  • New note: record a note to the establishment (email, phone call, etc)

  • New pump out: record a new pump out for this establishment

  • New yellow grease (if enabled): record a yellow grease pickup for this establishment

  • New inspection: create a new inspection record

  • Schedule inspection: schedule a future inspection at this establishment

  • New enforcement: create a new enforcement action

  • New permit (if enabled): add permit details to this establishment

Lower Right Panel: History

Tabs showing the full history of activity and records tied to this Establishment.

  • Activities: audit trail of changes

  • Compliance history: timeline of compliance status changes

  • Notes: notes added by staff

  • Pump outs: history of all pump outs for linked GCDs

  • Yellow grease (if feature enabled): history of all yellow grease pickups

  • Inspections: all inspection records

  • Enforcements: all enforcement actions

  • Permits (if feature enabled): permits issued to this establishment

FAQ

What is the difference between an open and closed establishment?

An open establishment is active and appears in default list views. A closed establishment has a closure date set and is hidden from default views, but all its data is preserved. You can reopen a closed establishment at any time.

How is compliance determined for an establishment?

Establishment compliance is based on the worst compliance status across all its GCDs. If any GCD is non-compliant, the establishment shows as non-compliant. If an establishment has no GCDs, it shows as "No Devices."

Can an establishment have multiple GCDs?

Yes. Establishments can have multiple GCDs linked to them. Each GCD has its own pumping frequency and compliance status.

What are the action tabs on the establishment detail page?

The right panel shows action buttons for New note, New pump out, New yellow grease (if enabled), New inspection, Schedule Inspection, New enforcement, and New permit (if enabled). Below those are content tabs for Activities, Compliance history, Notes, Pump outs, Yellow grease, Inspections, Enforcements, and Permits.
