Overview
Pump out records document grease trap servicing events. Each record captures when a grease control device (GCD) was pumped, how much grease was removed, and which service provider performed the work. When a pump out is submitted, the system automatically recalculates compliance for the associated GCD.
Where to find pump out records
There’s two ways to find a pump out record. First, navigate to the Establishment tab. Search for and select the location record that you’d like to review the pump outs for. In the bottom right panel of the Establishment record, select the Pump Outs tab. This tab will show a list of all pump outs completed at this establishment, listed from most recent to oldest.
Alternatively, you can navigate to Pump outs in the left sidebar, then click Pump outs (the sub-item). This opens a searchable, filterable table of all pump out records for your organization.
What a pump out record contains
Each pump out record stores the following information:

Establishment | The food service establishment (FSE) where the GCD was serviced |
Provider | The service provider (hauler) who performed the pump out |
GCD | The specific grease control device that was pumped |
Serviced on | The date the pump out occurred |
Volume | The amount of grease removed |
Unit | The unit of measurement (Gallons, Litres, or Pounds) |
Vehicle | The service vehicle used (if your organization tracks vehicles) |
Disposal Location | Where the grease was disposed (if your organization tracks disposal) |
File | An uploaded file or photo documenting the pump out |
Custom properties | Any additional fields your organization has configured within the program settings |
How pump outs connect to compliance
Each pump out resets the compliance clock for the associated GCD. When you submit, edit, or delete a pump out, the system automatically recalculates the GCD's compliance status. For full details, see How Pump Outs Affect Compliance.
FAQ
Who can submit pump out records?
Both Authority Users and Service Provider Users can submit pump outs. Authority Users create them from the FOG interface. Provider Users submit through their separate portal called SwiftWorks.
What date range is allowed for the serviced on date?
The serviced on date must be between 10 years ago and 1 year in the future. Dates outside this range will be rejected.
Can I delete a pump out record?
Yes. Open the pump out and click Delete. The associated GCD's compliance status will automatically recalculate.
