Adding, Editing, and Assigning/Moving a Grease Trap

How to create a GCD, edit its details, and assign it to one or more establishments.

Overview

Authority users can add new grease control devices (GCDs), edit their details, and assign them to establishments. You can add a GCD from an establishment or from the GCDs page.

Adding a GCD from an establishment (recommended)

Adding from an establishment automatically links the GCD to that establishment.

  1. Click Establishments in the left sidebar.

  2. Click the establishment name to open its detail page.

  3. In the left panel, find the Grease control devices expandable section.

  4. Click Manage GCDs.

  5. Fill in the GCD details (see field table below).

  6. Click Save.

Adding a GCD from the GCDs page

  1. Click GCDs in the left sidebar.

  2. Click the Add GCD button.

  3. Fill in the GCD details (see field table below).

  4. Save the GCD.

📝 Note: When you add a GCD from the GCDs page, you need to assign it to an establishment separately.

Editing a GCD

  1. Open the GCD detail page by clicking it’s name ( you can access it from the GCDs list or from an establishment's Grease control devices section).

  2. Click Actions, then Edit.

  3. Update the fields you need to change.

  4. Click Save.

What happens next

  • Changes take effect immediately.

  • If you change the pumping frequency, the compliance status recalculates automatically.

Assigning a GCD to an establishment

You can assign a GCD to one or more establishments:

  • From the establishment:

    1. Open the establishment detail page.

    2. Go to the Grease control devices section in the left panel, and click Manage GCDs.

    3. Scroll all the way down to the bottom of the form and click the blue text that says Or select from existing GCD.

    4. Click into the field and earch for the name of the GCD. Select the name to add it to the list.

    5. Click Save.

  • From the GCD:

    1. Open the GCD detail page

    2. Scroll down and expand the Establishment list on the left side of the page.

    3. Click Manage Establishments.

    4. Start typing the name of the establishment you’d like to connect this GCD to. Suggested matches will begin to pop up. Select the correct match.

    5. Click Save.

What happens next

  • The GCD appears in the establishment's Grease control devices section.

  • The establishment's compliance indicator reflects the GCD's compliance status.

  • Pump outs recorded for the GCD count toward the establishment's compliance.

💡 Tip: A GCD can be linked to multiple establishments. This is useful for shared devices like a large interceptor serving a food court.

Moving a GCD between establishments

To move a GCD from one establishment to another, remove the association from the current establishment and add it to the new one. You will want to first access the GCD record from either the GCD detail page or the establishment detail page.

  1. Expand the Establishment list and click Manage Establishments.

  2. Remove the current establishment from the Establishment Field and search for the establishment you’d like to connect it to.

  3. Select the new establishment name to add it to the field.

  4. Click Save.

Removing a GCD

If a GCD is no longer in service, remove it from the GCD record. This soft-deletes the GCD -- it disappears from default lists and pump-out GCD dropdowns, but its pump out history, inspections, and enforcements are preserved. You can restore it later if needed.

How to remove a GCD

  1. Open the GCD record (from the establishment's GCD tab or the GCDs list).

  2. Click the Actions dropdown.

  3. Click Remove.

  4. Confirm the action.

A removed GCD no longer contributes to establishment compliance. If the establishment loses its last active GCD, its compliance status becomes No devices.

Restoring a removed GCD

  1. Filter the GCDs list to include removed devices, or find the GCD from the establishment's GCD tab.

  2. Open the removed GCD record.

  3. Click the Actions dropdown.

  4. Click Re-activate.

FAQ

Q: What fields are required when creating a GCD?

A: Name, GCD category, location (inside or outside), capacity, and pumping frequency are required. Other fields are optional.

Q: What is the custom ID field?

A: The custom ID is an optional field that allows you to assign your own identifier to a GCD (e.g., an internal tracking number). It must be unique within your organization. This field is only visible if enabled in Settings > Properties > GCDs.

Q: Can I add multiple capacities to a GCD?

A: Yes. Click the add button in the capacities section to add multiple capacity entries. Each entry has a number and a unit (gallons, gpm, lbs, litres, or ls).

Q: What is the difference between Condition and Compliance?

A: Condition is a manually-set field representing the physical state of the device. Compliance (Compliance) is automatically calculated based on pump out frequency. They are tracked separately.
