Managing a Construction Site (Inspections and Deficiencies)

How to conduct inspections and log deficiencies on a construction site.

Overview

Construction sites require regular inspections and deficiency tracking. All activities are managed from the construction site's site record in the Construction program.


Conducting an inspection

  1. Click Construction in the left sidebar to open the Construction program.

  2. Click into the construction site you're inspecting.

  3. Under Recent Activity, open the Inspections tab.

  4. Click Create Inspection.

  5. Select the construction inspection template.

  6. Fill out the form: document site conditions, BMP status, and any issues found.

  7. Add photos and supporting documentation.

  8. Click Publish when complete.


Logging deficiencies

Deficiencies can be logged either inline within an inspection report or directly on the site record.

From within an inspection

  1. While filling out the inspection report, use the deficiency composite field.

  2. Add a new deficiency entry: name, level, description, corrective action, due date, photos.

  3. The deficiency is created automatically when you publish the report.

Directly on the site

  1. Open the construction site and navigate to the deficiencies section (or click into the Site Map).

  2. Click to add a new deficiency.

  3. Set the Deficiency Level (severity).

  4. Assign the deficiency to a responsible party and add a due date.

  5. Document the corrective action required.

  6. Click Save.

Track resolution by adding follow-up notes, resolution photos, and finally marking the deficiency as Resolved when the issue is corrected.


What happens next

  • Inspections are logged in the site's history with dates and any scoring configured for the template.

  • Deficiencies track through the standard open β†’ resolved workflow with a complete audit trail.

  • All data is available for export to CSV and for regulatory reporting.

Q: How often should construction sites be inspected?

A: This depends on your permit. Many MS4 permits require inspections before and after rain events plus regular intervals (often weekly or biweekly). Time-based reporting requirements can be configured by SwiftComply to surface upcoming and missed inspections on the dashboard.

Q: What construction-specific fields are available in reports?

A: Report templates for construction can include prepopulated fields for site acreage, disturbed acreage, contractor information, regulatory identifier, and construction start/end dates, all pulled from the site record. The exact set of fields depends on the template configured by SwiftComply.

Q: Can I schedule construction inspections on the Calendar?

A: Yes. Use the Calendar (in the left sidebar) to add inspection events and recurring schedules. Toggle Repeat Event when creating an event to set up recurring inspections.

Q: Where do I see all inspections for one construction site?

A: Open the site and look under Recent Activity > Inspections. This lists every inspection logged for the site with dates and statuses.
