Importing Data Into Your System

Overview: A few helpful steps to follow when importing data into your SwiftComply database.

Importing Data into SwiftComply FOG

You can import data into the following sections of your SwiftComply database:

  • Establishments

  • GCDs

  • Providers

  • Contacts

  • Pump Outs

The import process works the same for each section. This guide will walk you through it!

Before You Begin

  • This tool is for adding new data only. If you upload data that already exists, duplicate records will be created.

  • If you're unsure about the data you're importing, please contact your Account Manager for help.

  • All files must be in .csv format.

Import Templates

Use the templates below to get started. Required fields are marked with an asterisk (*) in the files.

Preparing Your File

  1. File Format: Make sure your file is saved as a .csv.

  2. Column Headings: Use the exact field names expected by the system.

    • For example, the column for establishment name must be labeled Name, not Establishment Name.

    • If you're using one of the templates above, you’re good to go.

  3. Custom Properties: If you're importing custom fields:

    • Go to Settings > Properties

    • Click on the property type you're working with (Establishment, GCD, etc)

    • Click the property name

    • Copy the Internal Name exactly (including capitalization, underscores, etc.) and use it as your column heading.

Note: You cannot import columns that do not exist in your system yet.

Uploading Your File

  1. Go to the section you're uploading data to (e.g., Establishments) from left navigation panel.

  2. Click Import.

  3. Use the Record Importer:

    • Left side: Click "Choose File" to upload your CSV file.

    • Right side dropdown ("Type"): Choose Validate to check for errors before processing.

    We strongly recommend validating before importing to avoid problems.

  4. If any issues are found, SwiftComply will show the exact rows and errors so you can fix them quickly.

Pro Tip: Test with One Record First

Before uploading a full list, try importing a single record to confirm everything is formatted correctly and shows up the way you expect in SwiftComply.


Ready to Go?

If everything looks good, go ahead and process the full import. Do this by re-uploading your updated file and selecting "Process".

Your records will now be uploaded into SwiftComply.
