Overview
Inspections in SwiftComply Pretreatment run on your own inspection templates. Schedule them ahead of time — one-off or on a recurring cadence — or start one on the spot. Each inspection moves through a clear lifecycle: Scheduled, Past Due once its due date passes, and Completed when it's signed and submitted.
Before you begin
You need at least one inspection template. SwiftComply includes Hard Copy Inspection Report Upload (the classic fixed form) to start with, and you can build your own — see the inspection-templates article.
The Industrial User must already exist in the system.
Scheduling an inspection
Open Inspections and click Schedule.
In the Schedule Inspection window, pick the Industrial User and the Template.
Set the Due Date, or check Make this a recurring schedule. to repeat it.
Click Schedule.
Each occurrence appears as its own row in the Inspections table.
Setting up a recurring schedule. Checking Make this a recurring schedule. adds four more settings:
First Due Date — when the series starts.
Interval and Frequency — every 1, 2, 3… Day, Week, Month, or Year.
For monthly schedules, Day — The same date every month or The last day of the month.
When it ends — On a Last Due Date, or After a number of occurrences.
⚠️ A schedule can't be edited after it's created. If plans change, delete the affected inspection and schedule again.
💡 Need an inspection right now? Click New Inspection instead — it creates an inspection due today and opens the form immediately.
The inspection lifecycle
Status | Meaning | What you can do |
Scheduled | Configured, not yet past its due date | Complete it, edit it, or delete it. Clicking the row opens the form |
Past Due | Past its due date, not completed | Same as Scheduled |
Completed | Signed and submitted | Open its overview page, edit, or archive |
An In Progress marker appears next to Scheduled or Past Due once someone has started filling in the form — so two people don't start the same inspection.
Archived hides a completed inspection from the default view. Nothing is lost — switch the filter to see archived inspections again.
Completing an inspection
Click a scheduled (or past-due) inspection to open it. Completion is two steps:
Step 1: Inspection Form. The form comes from the inspection's template, with your fields inline in the document. Fill in the fields, upload photos where the template asks for them, attach files, and record any nonconformances you find (see Recording Nonconformances on an Inspection). You can adjust the document's text for this specific inspection without changing the template. Leave any time with Save and exit — your progress keeps.
Step 2: Review, Sign, & Submit. The completed inspection renders as a PDF for review. Type your name in Type Your Name, confirm the date and time, and submit.
What happens next
The inspection's overview page shows the rendered PDF, a summary of the inspection, and two tabs:
Nonconformances — everything recorded during the inspection.
Activity — a log of every action, with Action, Action By, Action Date/Time, and Signed By columns.
Editing a completed inspection
Click Edit on the inspection's overview page to reopen the form. You can change any field, add or remove nonconformances, and update attachments — every edit is recorded in the Activity tab. Cancel an edit at any time to discard the changes.
⚠️ Removing a nonconformance during an edit removes it everywhere it appears in SwiftComply.
Deleting an inspection
Deleting a scheduled or past-due inspection is permanent:
Choose the delete action on the inspection.
Type the IU's name when asked — "Type the IU Name to delete the report."
Click Delete Inspection Report.
FAQ
Why does an inspection show Past Due?
Its due date passed without completion. Open it and complete it — Past Due inspections work exactly like Scheduled ones.
Why is a completed inspection missing from the table?
It was archived. Change the table's archive filter to show archived inspections.
Why can't I change the dates on a recurring series?
Schedules can't be edited once created. Delete the affected occurrences and schedule again.
