Upcoming Change: "Approved Until Date" Functionality Being Phased Out

Overview

SwiftComply is phasing out the use of a tester’s Approved Until Date when determining if they can be listed as the tester on a test report.

Historically, the Approved Until Date acted as a hard cutoff. Once that date passed, the tester could no longer submit test reports — even if their required certifications were still valid.

Beginning May 28, 2026, organizations will be able to choose whether they want this behavior to continue.

If no action is taken, the feature will automatically be turned OFF for all organizations on May 28, 2026.

How the Approved Until Date Works

ON (Current Behavior)

While the feature is ON:

  • A tester’s Approved Until Date is enforced.

  • If the Approved Until Date has passed, the tester cannot be listed as the tester on a test report.

  • This applies even if:

    • The tester’s certifications are still valid, and

    • The tester remains approved by the authority.

Once the feature is OFF (Default as of May 28th)

  • The Approved Until Date is ignored when determining tester eligibility.

  • A tester’s eligibility is determined only by:

    • certification status, and

    • approval status.

If the tester has compliant certifications and an Approved status, they can continue submitting test reports regardless of the Approved Until Date value.

💡 Turning the feature OFF does not delete any existing Approved Until Dates. If you miss the May 28th notification deadline and request to turn the feature back on temporarily, the prior behavior will resume automatically.

Approval Button Update

The Approve Until Date button will be renamed to simply:

  • Approve


User List Changes

The Approved Until Date column will be removed from user lists throughout the system.


Why This Change Is Being Made

The Approved Until Date was originally introduced as a workaround when SwiftComply only supported one required certification per tester. Some authorities used the field to track additional expiration dates outside of certification requirements.

Since then, SwiftComply has added support for multiple required certifications, allowing organizations to manage credential expirations more accurately and directly within certification requirements.

Removing Approved Until Date as a gating mechanism:

  • reduces confusion,

  • simplifies tester eligibility logic, and

  • aligns the system with how certifications function today.


Important Scenario to Review Before the feature Is Turned OFF

Before May 28, organizations should review testers whose Approved Until Date has already passed.

A tester may become eligible to submit test reports again if they:

  • have compliant, non-expired certifications,

  • remain in Approved status, and

  • previously became ineligible only because their Approved Until Date had passed.

Once the feature is turned OFF, those testers will automatically regain eligibility unless:

  • one of their required certifications expires, or

  • Their approval status is changed to Denied.


How to Find Affected Testers

Authority users can identify testers affected by this change using the Service Provider Tester Certification Info report.

Steps to Review Testers

  1. Run the Service Provider Tester Certification Info report.

  2. Export the report.

  3. Filter the report for:

    • Certification Status = Compliant

    • Approval Status = Approved

  4. Sort the report by Approved Until Date.

  5. Review testers whose Approved Until Date is in the past.

From there, you can determine whether each tester should:

  • remain eligible, or

  • have their approval status updated before the feature is turned OFF.


Who Should Consider Temporarily Keeping the feature ON?

Organizations may want to keep the feature ON temporarily to track expiration information separate from required certification expirations.

If your workflow relies on this behavior today, contact Support before May 28, 2026, to keep the feature enabled for your organization while transitioning to certification-based tracking.


Action Items for Authority Users

Before May 28, 2026:

  • Review testers whose Approved Until Date has passed.

  • Run the Service Provider Tester Certification Info report to audit affected testers.

  • Contact Support if you would like to keep the feature ON.

⚠️ If no action is taken, the feature will automatically be turned OFF on May 28, 2026.
