Submitting a Compliance Report (Manifest) to a City

How to submit a pump out compliance report (manifest) electronically to a city that uses SwiftComply FOG.

Overview

Cities that use SwiftComply FOG accept your pump out records electronically through SwiftWorks. The submitted record is called a compliance report inside SwiftWorks (it's the same thing your city may call a manifest, pump-out report, or hauler report). Submitting compliance reports through SwiftWorks replaces faxed or emailed manifests for connected cities.

Before you submit

  • The customer's location must be in a city that uses SwiftComply FOG.

  • Your Provider Connection Request for that customer must already be approved by the city. (See Adding a Customer for how the connection works.)

  • The location must have at least one piece of equipment (for example, the grease trap you pumped) added to it.

Submitting a compliance report

  1. Click Compliance in the SwiftWorks navigation. This is the easiest way to start a report -- you don't need to drill into the customer record first.

  2. Search for the establishment you serviced, then click Submit Report on its row.

  3. Choose the equipment you serviced. Devices that aren't connected to the city show as "Not connected" and can't be reported -- you'd need to fix the device's compliance link first.

  4. Fill in the report fields. The fields are configured by the city -- they're whatever pump-out details that city collects (date of service, gallons removed, manifest number, driver name, etc.).

  5. If your city charges a per-report fee, the report saves in a Not paid state and you'll see a Pay and Send button. See Paying for and Sending a Compliance Report for the walkthrough. Most cities don't charge a fee, in which case there's nothing extra to do.

  6. (Optional) Pick contacts at the customer who should be emailed a copy of the report.

  7. Click Submit to send the report (or to save it in Not paid status if your city charges a fee).

What happens after you submit

  • The report goes directly into the city's FOG program. They see it in their pump out records the same as if their staff had entered it.

  • The city's compliance status for that location updates automatically based on the new pump out date.

  • You can review submitted reports under the Compliance header in the SwiftWorks navigation.

  • If you selected contacts to notify, they get a copy of the report by email.

Reports submitted in error usually can't be deleted from your side -- the city is the system of record once the report lands. If you need to correct or void a report, contact the city directly.

FAQ

Q: I don't see a "submit report" option on my customer's location. Why?

A: A few things have to be true: the city must use SwiftComply FOG, the connection request must be approved, and the location must have at least one connected piece of equipment. Open the location and check the Compliance section -- if it says "Compliance not reported," something in that chain isn't set up yet.

Q: A device shows "Not connected" when I try to submit. What's wrong?

A: The piece of equipment isn't linked to the city's record of the location's grease control devices. The city's FOG team has to match the device on their end first. If you keep hitting this, send the city the device details (manufacturer, capacity, location notes) so they can connect it.

Q: My report fields are different on different cities -- why?

A: Each city configures its own form. SwiftWorks shows you the fields the specific city wants for that specific report. That's why an out-of-town pump-out form might look different from your local one.

Q: Can I attach the original paper manifest?

A: If the city's form includes a file upload field (often labeled "Manifest Ticket" or similar), yes -- attach it on the report form. If their form doesn't include a file field, the digital report itself takes the place of the paper.
