Scheduling a New Inspection

To schedule an upcoming inspection for an establishment, first navigate to the 'Establishments' tab, search for or select your chosen establishment, and select the 'New Inspection' tab on their profile.

In the Schedule an Inspection form, select your template, assigned inspector (you can select "None"), and the scheduled inspection date. When finished, click Schedule Inspection. The scheduled inspection will now appear at the top of the profile under the New inspection tab.

Note: Any city user can complete an inspection regardless of who the inspection was assigned to.

To edit the scheduled inspection, select the small grey pencil icon next to the scheduled inspection information.

To delete the scheduled inspection, select the small red trash can icon in the upper right hand corner next to the scheduled inspection information.

Note: Creating a new inspection normally on an establishment with a previously scheduled inspection will NOT affect the scheduled inspection.

Searching for a Scheduled Inspection

There are multiple ways to search for scheduled inspections. You can navigate directly to an establishment's page and begin the inspection from there, or you can search and sort establishments based on scheduled inspections.

Searching from the Establishments Tab:

Navigate to the 'Establishments' tab. Click the funnel icon to open the filter menu, where this a filter for 'Scheduled inspections' and a dropdown menu. Select Present to filter establishments with scheduled inspections, or Absent to filter establishments without scheduled inspections. This search filter can be used in combination with any other search filters. Hit the blue Apply button to apply your filters.

Searching from the Inspections Tab:

Select the 'Inspections' tab from the navigation bar. Click the funnel icon to open the filter menu, where this a filter for 'Status' and a dropdown menu. This refers to the inspection status - the choices are All, In Progress, Completed, and Scheduled. Select Scheduled to search among establishments with scheduled inspections. This filter can be used in combination with any other search filters. Hit the blue Apply button to apply your filters.

There is also the 'Scheduled date range' filter that allows you to filter inspections based on their scheduled inspection date. Selecting '#of days/months/years' will populate further dropdowns, allowing you to select the numbered unit, and whether you're searching in the past or in the future.

You are also able to search by 'Assigned inspector'. Clicking in the search box will populate a list of inspectors. Begin typing the first few letters of the inspector's name or email address and select the inspector you need from the dropdown menu.

Completing a Scheduled Inspection

To complete a scheduled inspection, you can access the scheduled inspection from either the 'Establishments' or 'Inspections' tab.

From the Establishments Tab:

Select the 'Establishments' tab and search for the establishment you need. Select the 'New inspection' tab on the establishment's page and the scheduled inspection will appear at the top of the page. Select Begin Scheduled Inspection to begin the inspection.

From the Inspections Tab:

If accessing the inspection from the 'Inspections' tab, simply select the Reference No of the inspection and select Begin Scheduled Inspection.

When you have completed the inspection, either select Save to save your progress and come back later to close the inspection, or Close to close the inspection.

Once the inspection is closed, there will be an option on the inspection summary to either Open the inspection or Schedule Next Inspection. When Schedule Next Inspection is selected, it will open a dropdown prompting the user to select the template, inspector, and scheduled inspection date. Complete the form and click Save Scheduled Inspection.
