Creating an Inspection

First navigate to the 'Establishments' tab, search for your chosen establishment, and select the 'New Inspection' tab on their profile.

To begin a new, unscheduled inspection, navigate down to the 'Begin New Inspection' section.

To complete a scheduled inspection, follow the advice in the article Scheduling Inspections.

Choose an inspection template.

Note: Inspection templates can be created and changed in Account > Settings > Inspections > Templates, as covered in the video in Inspections Section Overview.

Choose the ‘Inspected on’ date. This usually happens in ‘real time’, but it may also be a date in the past if entering historical inspections, or the future if scheduling inspections.

Click Choose files to attach a photo from the inspection, or take a photo using a mobile device.

You may save the inspection at any time without completing all required questions and come back to it later. Click Save to save the inspection as a draft, or Close to close the inspection.

Opening a Draft Inspection

Once an inspection has been started and saved (rather than closed), it will appear as a ‘Draft’ within the activity feed on the establishment's page. Click the blue text with the template name to open it. Now you may finish all required questions or review the inspection, and close it. In order to close an inspection, all required questions must be answered and the Compliance status must be chosen.

Reopening a Closed InspectionThe option to open is only visible to users with Admin access.

If an inspection is closed but further adjustments are needed, find the inspection from the establishment's feed and click the blue text with the template name to open it. Scroll to the bottom of the inspection, and click the blue text Open. Confirm you would like to open the inspection, make any necessary changes, and click Close again. You'll be prompted to record any change notes. If you'd like to, enter them and click Submit, or click Decline.

Deleting an Inspection

If an inspection is closed but needs to be deleted (i.e. it's a duplicate, errors were made, etc.) it must be reopened following the steps above, then scroll down and click the red Delete button to delete it.

Sorting Inspections

Select the ‘Inspections’ tab from the navigation bar to view a list of all inspections.

The list of inspections can be sorted by the following by clicking on the column headings:

Template

Reference no

Location

Compliance

Scheduled Inspection Date

Inspected on

Updated at

Closed at

Printing and Saving Inspections

Once an inspection is closed it may be saved as a PDF. Select the printer icon at the top of the inspection report and follow the prompt to save file locally. Then you may print or share.

Emailing an Inspection

Once an inspection is closed it may be emailed directly to multiple contacts.

Select the mail icon at the top of the inspection report and a modal will pop up to select contacts. This defaults to all contacts on the account, and these may be deleted by pressing the backspace or delete key, or new contacts may be added by typing their name and selecting the correct contact. Once you've chosen the contacts you'd like to send the inspection to, click Send.
