The 'Downloads' dashboard lists all the notices grouped by communication type that are currently created in your system. This dashboard can be viewed by navigating to the top of your communication page and selecting the 'Downloads' option.
Viewing Sent Communication:
To pull up previously sent communications, you must first select one of your already created communication types and the corresponding method used for that specific template to view all communications in that type; in the example below, we selected a 'First Notice,' sent by 'Letter.'
Before you click the 'Get List' button, you can further search by selected the "Due On" or "Generated On" date fields. This is not required if you want to view all unsent communications of the specified type.
Next click on 'Get List' to generate a list of ALL previously sent notices.
Clicking the 'Request Downloads' button will bring in our requested communications above the Search criteria.
As you can see, it displays the Description of the communication, the Status is set to 'Requested,' and it displays a range, requested date, and requester name.
This Status field will change to 'Ready' once the communications have fully generated and are ready to send out.
The Range field shows how many communications are in each 'batch.' Depending on criteria/what is ready to be sent, this can vary from a handful of letters, to hundreds. If there are a significant amount to be sent, in order to speed up the send/print process, multiple batches will be listed.
Selecting the communication batch will open a side-panel labeled "Communications Download Request."
This is where you would request the download for each batch. When you click the 'Download' button, it will download a .zip file with your combined PDF.
Next, select the "Mark Downloaded" button to proceed to the next step.
This button will change to "Update Comms to Sent." Selecting this button will give us one last step to complete.
Finally, click the "Mark Completed" button to finish the process.
Please note that you can Delete this request at any stage, unless you have clicked the "Mark Completed" button.
