Understanding Weekly Payment Reminder Emails

Who gets the weekly payment reminder email, what it says, and how paying for your test reports stops it.

Overview

Some authorities require testers to pay for each passing test report they submit. When a tester submits a passing report that needs payment, the report waits in Pending Payment until it's paid. It isn't submitted to the authority until then.

SwiftComply sends a weekly reminder email to testers who have test reports waiting on payment. The email says how many of their reports are waiting and links straight to the Payments page. The reminders repeat every week until those reports are paid.


Who Gets a Reminder

A tester receives a reminder when all of these are true:

  • They submitted the test report, or they are the tester listed on it.

  • The report is in Pending Payment.

  • They are an active service provider user and still a member of that service provider.

  • The service provider is active.

Authority users do not receive these emails. Payment only applies to reports a tester submits, so reports that authority users submit don't wait in Pending Payment.

A tester gets one email per service provider, not one per report. Five reports waiting at one service provider means one email that covers all five. A tester with reports waiting at two service providers gets two separate emails.


What the Email Says

  • From: SwiftComply (noreply@swiftcomply.com). Payment reminders always come from SwiftComply, even if the authority sends its other emails from its own address.

  • Subject: "Action needed: Finish submitting your tests to [authority name]" ("your test" when only one report is waiting).

  • Body: How many of your test reports for that authority haven't been submitted yet because they need payment. Until they're paid, the authority won't receive those reports, the assemblies stay flagged as due for testing, and responsible parties may continue to receive notices.

  • A Make Payment button, plus a plain link underneath in case the button doesn't work.

Paying From the Email

  1. In the reminder email, click Make Payment. The Payments page opens with that service provider already selected. If you're asked to sign in first and the page doesn't open afterward, click Make A Payment at the top of SwiftComply.

  2. Leave My Test Reports selected to see the reports you submitted or are listed on. Choose All Test Reports to see every report waiting on payment at that service provider.

  3. Select the reports you want to pay for.

  4. Click the payment button. If your service provider's balance covers the total, the button reads Pay with Balance; click it, then click Yes to confirm. Otherwise the button reads Pay Now: any balance is applied first, and Pay Now opens a secure Stripe checkout page for the amount left. The page shows a \$2 minimum for card payments.

After payment, each report moves from Pending Payment to Submitted (shown as Awaiting Acceptance on the report itself) and goes to the authority. If the authority uses auto-accept, a report may be accepted right away.

What Happens Next

  • Paying stops the reminders. When none of your reports at that service provider are waiting on payment, the weekly email for that service provider stops.

  • Unpaid reports keep the reminders going. There is no limit on how many weeks the email repeats.

  • Resetting or deleting a report also stops it counting. A report reset with Reset to In Progress, or deleted, is no longer waiting on payment.

  • Removed or inactive testers are skipped. A tester who has left the service provider, or whose account is inactive, is not emailed.


FAQ

Q: Why am I getting a payment reminder email?

A: You have at least one test report waiting on payment at that authority. You submitted it, or you're listed as the tester on it. Once your reports there are paid, the reminders stop.

Q: How do I stop the reminders?

A: Pay for your reports that are waiting on payment at that service provider. Once none of yours are left in Pending Payment, the emails stop.

Q: Why does the email come from SwiftComply and not my city or water utility?

A: Payment reminders are always sent from noreply@swiftcomply.com, even if the authority sends its other emails from its own address.

Q: I got more than one reminder on the same Monday.

A: You have reports waiting at more than one service provider. Each service provider gets its own email.

Q: A report on the Payments page shows a warning icon instead of a checkbox.

A: That report can't be paid right now, for example because its assembly or location was removed. Hover over the icon to see the reason and who can fix it. The report keeps counting in your weekly reminder until it's resolved.

Q: I have a lot of unpaid tests, but the Payments page doesn't show all of them.

A: The Payments page shows up to 40 reports at a time. After you pay for those, the remaining reports appear on the page.

Q: I expected a reminder but didn't get one.

A: Reminders only go out on Mondays at 14:00 UTC, so a report that reaches Pending Payment after that week's send is included the following Monday. They also only cover reports you submitted or are listed on, at service providers you're still a member of.
