Why Your Backflow Test Report Won't Submit

Why SwiftComply blocks a backflow test report submission — calibration, certification, tester, and date errors — and how to fix each.

Overview

When you click Save & Submit on a backflow test report, SwiftComply runs a few checks before it accepts the report. If a check fails, the report stays unsubmitted and an error message appears at the top of the form. This article explains each error you might see and how to fix it. Your Pass or Fail result never blocks submission — you can submit either one.


Before you begin

  • Sign in to your SwiftComply Service Provider account.

  • Open the report you're submitting — it must still be in progress (not already submitted).


How submitting works

  1. Fill out the test form and reach the final section.

  2. Check the box to certify your information is correct.

  3. Click Save & Submit.

  4. In the confirmation dialog, click Yes.

If every check passes, the status changes to Submitted. If not, you stay on the form and an error appears at the top — find it in the table below.

⚠️ Note: If your test kit or tester changed after you opened the form, SwiftComply sends you back to the Service Provider selection step to re-confirm your selections before you can submit. Click Edit Tester & Kit to review them, then submit again.

Test kit calibration has not been approved

The calibration you selected hasn't been approved by the water authority yet.

Ask your authority to approve the calibration, or select one that's already approved.

Test date is outside the valid test kit calibration period

Your test date falls before or after the selected calibration's valid dates.

Pick a calibration whose date range covers your test date, or correct the Test Date.

Test date is outside the valid tester certification period

Your certification wasn't valid on the test date you entered.

Check your certification dates. Use a test date within them, or have your authority update the certification.

Unable to verify test kit calibration / Unable to verify tester certification

SwiftComply couldn't look up the calibration or certification.

Reopen the report and try again. If it persists, contact your backflow coordinator.

The assembly type being reported does not match the assembly type on record, please contact your backflow coordinator

The assembly type on your report differs from the type saved on the assembly record.

Contact your backflow coordinator to correct the assembly type — you can't change it here.

There is an error in the test report configuration, please contact your backflow coordinator

The test form is missing its Assembly Type field (a setup issue).

Contact your backflow coordinator; this isn't something you can fix yourself.

An internal error occurred, please try again

A temporary system error.

Submit again. If it keeps happening, contact support.

You're sent back to the Service Provider selection step

Your service provider, tester, or test kit changed after you opened the form.

Re-confirm your selections (click Edit Tester & Kit), then submit again.

The report won't submit at all

The report isn't in progress (it may already be Submitted or awaiting payment); the Test Date is empty or set in the future; or your tester isn't yet an approved member of the service provider.

Confirm the test date is filled and not in the future, that you're an approved tester for this service provider, and that the report hasn't already been submitted.

💡 Heads up: If your water authority has turned off test-kit validation for your organization, SwiftComply skips the test kit calibration checks — so the calibration messages above won't appear. Tester certification checks still apply, so a certification error can still block your submission.


What happens next

Once all checks pass, the status changes to Submitted and the report goes to the water authority for review. Your Pass/Fail result doesn't affect whether you can submit — only whether a payment step applies afterward on paid programs.
