Overview
When the assembly or location you need to test does not exist in SwiftComply, you may be able to create it directly from the test report. This capability depends on organization settings -- your authority controls whether the creation buttons are available to Service Providers.
Prerequisites
The New Location and New Assembly (on some organizations, New / Replacement Assembly) buttons are shown to Service Providers unless your authority has turned off the corresponding organization settings.
đ If you do not see these buttons after searching, your authority has turned them off. Contact your city/org to add new Location & Assembly details to the system.
Creating a New Location
You can create a new location during the test report flow when the location you need isn't in the search results.
From the New Test Report screen, search for a location by address.
If location creation is enabled, the New Location button appears after you search.
Click New Location, then complete the service provider selections and click Continue.
Fill in the required fields marked with an asterisk (*). Note that these fields may vary depending on city/org requirements.
Click Next to continue entering your report.
Creating a New or Replacement Assembly
You can create a new assembly or replace an existing one during the test report flow.
Adding a Brand-New Assembly
Within a new test report, search for and select the location.
If assembly creation is enabled, the New Assembly button will be visible. (On some organizations it reads New / Replacement Assembly.)
Click it, then complete the service provider selections and click Continue. If Is this assembly replacing another at this location? appears at the top of the report form, choose No.
Youâll notice the location details are populated. Fill in the assembly fields. Fields marked with an asterisk (*) are required. Required fields may vary between cities.
Click Next to continue entering your report.
Replacing an Existing Assembly
How you start a replacement depends on your authority's settings.
If the assembly table shows a Replace button:
Search for and select a location.
Click Replace on the row of the assembly you're replacing. Or click New Assembly, then on the report form answer Yes to Is this assembly replacing another at this location?, click Pick assembly to replace, and choose the assembly.
Complete the service provider selections and click Continue.
Fill in the details for the replacement assembly.
Once all required fields are complete, click Next to continue entering your report.
If you see a New / Replacement Assembly button instead:
Search for and select a location.
Select the assembly that youâre wanting to replace.
Click the New / Replacement Assembly button.
Complete the service provider selections and click Continue.
Fill in the details for the replacement assembly, including any replacement fields your authority's form asks for.
Once all required fields are complete, click Next to continue entering your report.
What Happens After Creation
New locations and assemblies created by Service Providers may arrive with a Needs Review flag so the authority can verify the data.
You can continue with your test report after creating the location or assembly.
The authority will review the new record and update it if needed.
FAQ
Q: Why don't I see the New Location or New Assembly button?
A: These buttons are controlled by your authority's organization settings. They appear after you search, and are shown unless your authority has turned them off for Service Providers. Contact your authority to request access.
Q: Will my authority be notified when I create a new location or assembly?
A: New records created by Service Providers may be flagged with Needs Review status so the authority can verify and approve the data.
Q: What fields are required when creating a new assembly?
A: You must provide the Serial Number, Type, Make, and Model for the assembly. Additional required fields, such as Size, may vary between cities depending on their program requirements.
