Overview
When the assembly or location you need to test does not exist in SwiftComply, you may be able to create it directly from the test report. This capability depends on organization settings -- your authority controls whether the creation buttons are available to Service Providers.
Prerequisites
The New Location and New / Replacement Assembly buttons are only visible if your authority has enabled the corresponding organization settings:
📝 If you do not see these buttons, your authority has not enabled them. Contact your city/org to add new Location & Assembly details to the system.
Creating a New Location
You can create a new location during the test report flow when your search returns no matching locations.
From the New Test Report screen, search for a location by address.
If no results are found and location creation is enabled, the New Location button will be visible.
Click New Location.
Fill in the required fields marked with and asterisk (*). Note that these fields may vary depending on city/org requirements.
Click Next to continue entering your report.
💡 Double-check the address fields before confirming. Accurate location data helps your authority match the record to their system.
Creating a New or Replacement Assembly
You can create a new assembly or replace an existing one during the test report flow.
Adding a Brand-New Assembly
Within a new test report, search for and select the location.
If assembly creation is enabled, the New / Replacement Assembly button will be visible.
Click New / Replacement Assembly.
You’ll notice the location details are populated. Fill in the assembly fields. Fields marked with an asterisk (*) are required. Required fields may vary between cities.
Click Next to continue entering your report.
Replacing an Existing Assembly
Search for and select a location.
Select the assembly that you’re wanting to replace.
Click the New / Replacement Assembly button.
Fill in the details for the replacement assembly.
Select Replacement for your reason for test and then enter the old serial number of the assembly it’s replacing.
Once all required fields are complete, click Next to continue entering your report.
What Happens After Creation
New locations and assemblies created by Service Providers may arrive with a Needs Review flag so the authority can verify the data.
You can continue with your test report after creating the location or assembly.
The authority will review the new record and update it if needed.
FAQ
Q: Why don't I see the New Location or New / Replacement Assembly button?
A: These buttons are controlled by your authority's organization settings. If they are not visible, the feature has not been enabled for Service Providers. Contact your authority to request access.
Q: Will my authority be notified when I create a new location or assembly?
A: New records created by Service Providers may be flagged with Needs Review status so the authority can verify and approve the data.
Q: What fields are required when creating a new assembly?
A: You must provide the Serial Number, Type, Make, Model, and Size for the assembly. Additional required fields may vary between cities depending on their program requirements.
