Reviewing and Accepting a Survey

How to review, accept, and reset backflow hazard surveys submitted by your testers.

Overview

When a tester submits a backflow hazard survey, it appears in your Surveys To Review queue on the Notifications tab. From there you can open each survey, review the responses and uploaded documents, and accept or reject it. This article walks through the review workflow starting from Notifications.


Where to Start: The Notifications Tab

  1. Click Notifications in the left navigation.

  2. Find the Surveys To Review row. The number next to it is your current backlog of submitted surveys waiting on review.

  3. Click the open icon next to the number to jump to the Surveys list, pre-filtered to show only surveys in Submitted status.

πŸ’‘ You can also reach this list by clicking Surveys in the left navigation and filtering by status. The Notifications tab is the faster shortcut when you're working through your daily queue.


Reviewing a Survey

  1. From the filtered Surveys list, click a survey to open it.

  2. The survey opens on its detail page, showing:

    • The location the survey was performed at

    • The surveyor (tester) who submitted it

    • Survey date and overall result (Pass / Fail)

    • Responses to each survey question

    • Uploaded documents β€” typically the survey form and any supporting images

  3. Click through the responses and open any attached documents.


Accepting a Survey

  1. Click Accept Survey.

  2. The survey's status changes to Accepted.

  3. The location's Survey Compliance and Survey Expiration columns on the Locations table update to reflect the accepted survey.

  4. An entry is written to the location's compliance history.

You can accept a failing survey β€” it still counts as a completed survey for tracking purposes, but the result stays recorded as Fail.


Rejecting a Survey

If the information is incorrect or something important is missing, reject the survey so the tester can correct and resubmit.

  1. Open the survey.

  2. Choose the rejection action and provide a reason.

  3. The tester is notified and the survey returns to their queue for correction.

Rejecting does not update the location's compliance record.


Resetting a Survey

Reset to In Progress returns an already-processed survey to the tester for correction.

  1. Open the survey.

  2. Click Reset to In Progress.

  3. The survey goes back to In Progress. The tester can edit and resubmit it.

πŸ“ Reset to In Progress is not available for imported surveys. Surveys that were imported into SwiftComply rather than submitted through the app can only be corrected by editing the record directly. If you need help, contact SwiftComply support.


FAQ

Q: My Surveys To Review queue on the Notifications tab is large. Why?

A: Surveys don't use Auto Accept, so every submitted survey requires manual review. If your queue is consistently growing, consider dedicating time on a regular cadence (weekly, for example) to work through the backlog.

Q: I accepted a survey with the wrong result. Can I fix it?

A: Click Reset to In Progress. This returns the survey to the tester, who can correct and resubmit. If the reset action isn't available (for example, because the survey was imported), contact SwiftComply support.

Q: Does accepting a survey update anything about the assemblies at the location?

A: Accepting a survey updates the location's Survey Compliance and Survey Expiration β€” not individual assemblies. Assembly-level compliance is driven by test reports, not surveys.

Q: Where do I see survey history for a location?

A: Open the location from the Locations list. The location detail page shows survey history. See Understanding Survey Compliance at a Location for details.
