Overview
Inspections in SwiftComply FOG follow a lifecycle: From Scheduled (optional), to Draft, to Closed. You can schedule an inspection in advance, start one immediately, or begin from a previously scheduled inspection. This article walks through each step.
Scheduling an inspection
Scheduling creates an inspection placeholder for a future date.
Click Establishments in the left sidebar.
Search for and select the establishment you want to inspect.
In the top right panel, click the Schedule inspection action tab.
Select which Inspection youโd like to schedule, add comments (optional), and assign an inspector (optional).
Set the Scheduled date (must be a date in the future).
Click Schedule Inspection.
The inspection is created with a Scheduled status and appears in the Schedule Inspection tab, above the prompt to schedule an inspection.
๐ Note: You can also schedule inspections for GCDs by navigating to a specific GCD and using the same action.
Starting an inspection
Starting a new inspection (not scheduled)
Click Establishments in the left sidebar.
Search and select the establishment you want to inspect.
On the right panel, click the New inspection action tab.
Select an Inspection template from the dropdown.
Set the Inspected on date (required). Use the date picker or type the date in yyyy-mm-dd format.
Fill out all appropriate fields. Fields designated with an asterisk (*) are required.
If youโd like to keep the inspection set as a Draft and revist later, click Save.
If this inspection is complete, click Close. Closing an inspection marks it as complete and assigns a compliance outcome to it.
๐ Note: Once closed, the inspection becomes read-only. You must reopen it to make changes.
๐ก Tip: You can save a draft and return to it later, by click Save instead of close. Draft inspections remain editable until you close them.
Starting a scheduled inspection
Navigate to the Schedule Inspection list within the Establishment, GCD, or Vehicle record.
In the Scheduled Inspection, click Begin Scheduled Inspection.
The status changes from Scheduled to Draft, and you can begin answering questions.
Fill out all appropriate fields like above.
Click Close to complete the inspection, or Save to keep it as a draft that you can revist later.
Reopening a closed inspection
If you need to correct a closed inspection:
Navigate to the inspection record either through the Inspection tab, or through its cooresponding record (Establishment, GCD, Vehicle).
Within the inspection record, scroll all the way to the bottom. A the bottom right of the page, click Open (the reopen action).
A confirmation message will pop-up, click OK.
The status changes from Closed back to Draft.
Edit the necessary fields by clicking into them directly and typing.
Close the inspection again by selecting a compliance outcome and clicking Close.
Add notes to mark the record change, then click Submit.
Printing and emailing an inspection
Within a closed inspection record, you have the option to either print your inspection, or email it.
To Print:
In the upper right corner of the inspection, click the Printer icon.
The print window will pop-up with a preview of how your document will look. The PDF will include the questions, answers, and attachments listed within your inspection.
Print the document to your local printer or save as a PDF.
To Mail:
In the upper right corner of the inspection record, click the Click Letter icon.
A window will appear allowing you to select contacts listed at the establishment. Select the cooresponding contacts, then click Send.
Deleting an inspection
Draft inspections can be deleted:
Open the draft inspection.
Scroll all the way to the bottom of the page.
On the bottom left corner, click Delete.
Confirm when prompted: "Are you sure?"
๐ Note: Closed inspections cannot be deleted. Reopen the inspection first if you need to remove it.
FAQ
Q: What statuses can an inspection have?
A: Draft (started but not closed), Scheduled (future inspection planned), and Closed (completed with a compliance outcome selected).
Q: Is a compliance outcome required to close an inspection?
A: Yes. You must select an inspection compliance outcome before closing. Outcomes are configured at Settings > Inspections.
Q: Can I reopen a closed inspection?
A: Yes. Open the closed inspection and use the reopen action. Make corrections, then close it again with an updated compliance outcome.
Q: Can I delete an inspection?
A: Only draft inspections can be deleted. Closed and scheduled inspections cannot be deleted โ they can only be reopened and edited.
