Overview
Vehicle inspections work the same way as establishment inspections, but they evaluate service provider vehicles instead of food service establishments. Vehicle inspections use their own templates and compliance outcomes, separate from FSE inspections.
These inspections are set up within your program Settings.
π Note: Vehicle inspections require both the vehicles feature and the inspections feature to be enabled for your organization. If you do not see vehicle-related options, contact your the SwiftComply team a help@swiftcomply.com.
Navigating vehicle inspections
You can access vehicle inspections from multiple places throughout the software.
From a vehicle: Click Vehicles in the left sidebar, then click a vehicle to see its inspection history.
From the Inspections Tab: On the Inspections tab, click the Vehicle inspections tab to toggle and see all vehicle inspections across all providers.
Scheduling a vehicle inspection
Click Vehicles in the left sidebar.
Select and open the vehicle record of the vehicle you want to inspect.
Click the Schedule inspection action button (top right of the vehicle record).
Select the template, add comments (optional), and assign an inspector (optional).
Set the Scheduled date (must be a date in the future).
Click Schedule inspection.
The inspection is created with a Scheduled status.
Conducting a vehicle inspection
Starting a new inspection (Not scheduled)
Click Vehicles in the left sidebar.
Click the vehicle you want to inspect.
Click the New inspection action button (top right of the vehicle record).
Select an Inspection template from the dropdown. Only templates with the Vehicle subject type appear here.
Set the Inspected on date (required).
Fill out all appropriate inspection fields.
Choose a compliance.
Click Close to complete the inspection, or click Save to save it as a draft.
Starting from a scheduled inspection
Click Vehicles in the left sidebar.
Click the vehicle you want to inspect.
Click the Schedule inspection action button (top right of the vehicle record).
In the listed scheduled inspection, click Begin Inspection.
Click Close to complete the inspection, or click Save to save it as a draft.
Answer the template questions.

Separate compliance outcomes
Vehicle inspections use a different set of compliance outcomes than FSE inspections. When you configure outcomes in Settings, you choose the Vehicle subject type to create outcomes specifically for vehicle inspections.
This means you can have:
"Pass" and "Fail" outcomes for FSE inspections
"Approved" and "Needs Maintenance" outcomes for vehicle inspections
Each set is independent and does not overlap.
FAQ
Do vehicle inspections use the same templates as establishment inspections?
Templates are shared, but compliance outcomes are configured separately for the Vehicle subject type. Go to Settings, then Inspections to create vehicle-specific outcomes.
Can I export vehicle inspections?
Yes. Vehicle inspections can be exported to CSV separately from establishment inspections.
Where do I view all vehicle inspections?
Click Inspections in the sidebar to see the global inspections list. You can also access vehicle-specific inspections from the vehicle detail page.
