Assigning Inspectors & Providers to an Establishment

How to assign inspectors and providers to establishments.

Overview

Each establishment can have an assigned inspector and an assigned service provider. This article explains how to set up each of these relationships.

Assigning an inspector

An inspector is the Authority User responsible for inspecting this establishment.

Inspectors are designated in the user record. You can designate a user as an inspector by going to Settings and navigating to the Team tab.

To assign designated inspectors to an establishment:

  1. Click Establishments in the left sidebar.

  2. Click the establishment name to open its detail page.

  3. Click the Actions dropdown, then click Edit.

  4. In the Inspector field, select an Authority User from the dropdown.

  5. Click Save.

What happens next

  • The inspector's name appears on the establishment detail page.

  • You can filter the Establishments list by assigned inspector.

  • Scheduled inspections can be routed to the assigned inspector.

💡 Tip: Bulk assign inspectors by filtering the Establishment table to the desired establishments, clicking Actions, and selecting Assign Inspector.

Assigning a provider

A provider is the service company (grease hauler) that services this establishment's GCDs.

  1. Click Establishments in the left sidebar.

  2. Click the establishment name to open its detail page.

  3. Click Actions, then click Edit.

  4. In the Provider field, type at least 2 characters to search for a provider.

  5. Select the provider from the results.

  6. Click Save.

What happens next

  • The provider name appears on the establishment detail page.

  • If the provider has previously submitted a Request to Connect through SwiftWorks, the Establishment will appear in their customer list.

📝 Note: Providers must be created in the Providers module before they can be assigned. If you do not see the provider you need, add them through Providers in the sidebar first.

FAQ

Can I assign multiple inspectors to one establishment?

No. Each establishment has one inspector field. You can change the assigned inspector at any time by editing the establishment.

Does the provider assignment affect who can submit pump outs?

Assigning a provider to an establishment does not restrict who can submit pump outs. Any provider in the system can submit a pump out for any establishment as long as they’ve submitted a Connection Request through their SwiftWorks portal.

Why can’t the service provider see the establishment in their customer list?

The Service Provider will need to submit a request to connect within their SwiftWorks portal. They can navigate to their Customer list, click Add Customer, fill out all required fields, and submit to your team to review. You can then review the connection request witin the Providers tab.
