Configuring Enforcement Types, Templates, and Print Layout

How to set up enforcement types, create enforcement templates, and customize the print layout.

Overview

Before your team can create enforcement records, you need to configure enforcement types (violation categories), templates (the questions and fields that appear on each enforcement), and optionally customize the print layout used when generating enforcement PDFs.

All enforcement configuration is managed within program Settings. Please note that you will need to be desigated as an Admin to access this section of SwiftComply FOG.

Configuring enforcement types

Enforcement types categorize violations (for example, "Notice of Violation" or "Improper Disposal"). Each type must have a unique name within your organization.

Adding an enforcement type

  1. Go to the Settings gear in the upper right corner.

  2. Go to the Enforcements tab.

  3. Navigate to the Types section.

  4. Click Create enforcement type.

  5. Enter the name of the enforcement you’d like to create.

  6. Click Save.

The new type will appears in the dropdown when your team creates a New Enforcement within an Establishment record.

Editing an enforcement type

  1. Go to the Settings gear in the upper right corner.

  2. Go to the Enforcements tab.

  3. Navigate to the Types section.

  4. Click the type you’d like to update.

  5. Edit the type name as needed.

  6. Click Save.

Your update will show within the type drop-down as well as within any GCDs already listed as that type.

Archiving, restoring, & deleting enforcement types

Archiving an Enforcement Type:

  1. To archive a type you no longer use, open it and click Archive.

  2. A confirmation pop-up will appear, click OK.

Restoring an Archived Type:

  1. To restore an archived type, open it and click Restore.

  2. A confirmation pop-up will appear, click OK.

Deleting an Enforcement Type

  1. Open the type you’d like to delete and click Delete.

  2. A confirmation pop-up will appear, click OK.

📝 Note: You cannot delete an enforcement type that has enforcement records associated with it. Archive it instead to hide it from the dropdown.

Creating enforcement templates

Enforcement templates define the questions and fields that appear on an enforcement form. Templates support the same question types used in inspection templates.

Adding a template

  1. Go to the Settings gear in the upper right corner.

  2. Go to the Enforcements tab.

  3. Navigate to the Templates section.

  4. Click Add.

  5. Enter a Template Name.

  6. Within the form you’ll see that the first few fields are standard fields. These cannot be edited. Scroll down to the end of the current form to add in your additional fields as needed.

    Click the blue Plus icon on the right of the last question to add an additional question below the one you clicked.

  7. Add your question in the Question Title field.

  8. Select the question type from the dropdown (see table below).

  1. Check the Required box if you want the question to be required.

  2. Check the Conditional checkbox if you’d like this to be a conditional question (see walkthrough below for more details).

  3. Click Save.

Creating a Conditional Question

A conditional question is a question that only appears on a form based on how a previous question was answered — keeping forms short and relevant for each user.

To create a conditional question, your form must include at least one other question with a selectable answer type (such as a dropdown or checkbox — not a text field).

To create a conditional question:

  1. Click the Conditional checkbox.

  2. Choose what action should be taken from the dropdown (show or hide).

  3. Select which previously created question it should refer to.

  4. Select which answer you’d like it to complete this action for.

Managing templates

Editing a Template:

  1. Click the template name to open it.

  2. Click into and adjust any fields that need editing.

  3. Add additional questions by click the Blue Plus icon to the right of any question. The new field will appear directly below.

  4. Remove any question by click the Gray Dash Icon to the right of the question.

  5. When you’re done editing your form, click Save.

Make a Copy of your Template

  1. Navigate to your template list and click Make a Copy next to the template you’d like to duplicate.

  2. Rename the template with your updated details.

  3. Edit or add any other questions as needed.

  4. Click Save.

Archiving a Template

  1. Click the template name to open it.

  2. Scroll to the bottom of the template and click Archive.

  3. A confirmation window will pop up, click OK.

The template will now be hidden from the dropdown when creating your enforcement. An archived date and time will also be added in the template list.

Restoring an Archived Template

  1. Click the template name to open it.

  2. Scroll to the bottom of the template and click Restore.

  3. A confirmation window will pop up, click OK.

The template will now be listed in the dropdown when creating your enforcement. The archived date and time will also be removed from the template list.

Deleting a Template

  1. Click the template name to open it.

  2. Scroll to the bottom of the template and click Delete.

  3. A confirmation window will pop up, click OK.

📝 Note: You cannot delete an enforcement template that has enforcement records associated with it. Archive it instead.

Customizing the enforcement print layout

The enforcement layout allows you to add a header and a footer to your enforcement. This will affect how enforcement PDFs look when printed or emailed.

  1. Go to the Settings gear in the upper right corner.

  2. Go to the Enforcements tab.

  3. Navigate to the Layout section.

  4. Customize the layout with:

  1. Click Preview to see how the layout looks before saving.

  2. Click Save to apply your changes.

💡 Tip: Use the Preview button to check your layout before saving. This helps you catch formatting issues before your team prints enforcement records.

What happens next

  • After adding enforcement types: The new types appear in the Enforcement Type dropdown when creating enforcement records.

  • After adding enforcement templates: The new templates appear in the Enforcement Template dropdown and define the questions shown on the enforcement form.

  • After updating the print layout: All future enforcement PDFs use the updated layout. Existing printed PDFs are not affected.

FAQ

Q: Can I archive an enforcement type that is in use?

A: Yes. Archiving a type hides it from the dropdown when creating new enforcements, but existing enforcements using that type are not affected.

Q: How do I copy an enforcement template?

A: Open the template and use the Make a Copy action. This creates a duplicate template that you can modify without affecting the original.

Q: What can I customize in the print layout?

A: You can add a header image, footer image, and customize the body content using the Trix rich text editor. Use the Preview button to see how it looks before saving.

Q: Can I use different templates for different enforcement types?

A: Yes. Types and templates are independent. When creating an enforcement, you select both a type and a template from separate dropdowns.
