Overview
SwiftComply provides several ways to share and distribute enforcement data -- from printing individual records as PDFs to exporting the full table as a CSV and setting up recurring email reports for your team.
Printing an enforcement
Open the enforcement record by clicking it in the Enforcements table.
Click Print.
The system generates a PDF using the enforcement layout template configured in Settings > Enforcements.
π‘ Tip: Customize the print layout (header image, footer image, and body content) in Settings > Enforcements under the layouts section. See Configuring Enforcement Types, Templates, and Print Layout for details.
π Note: Print is not available for enforcements in In Progress status. Issue the enforcement first before printing.
Emailing an enforcement
Open the enforcement record.
Click Mail.
The system sends the enforcement details to the relevant contacts.

Exporting enforcements to CSV
Go to Enforcements in the left sidebar.
Apply any filters to narrow down the records you want to export.
Click Export from the Actions menu.
Select the fields to include in the export. Use Check/uncheck all to toggle all fields.
Click Export to download the CSV file.
Sending a one-time email report
Mail reports let you email a CSV of enforcement data to team members.
Go to Enforcements in the left sidebar.
Click Send Report from the Actions menu.
Choose Send now.
Configure the report:
Subject -- The email subject line
Users -- Select which team members receive the report
Report Fields -- Choose which data fields to include
Click Send report.
The system generates a CSV and emails it to the selected users.
Setting up recurring reports
Recurring reports automatically generate and email enforcement data on a schedule.
From the Enforcements table, click Edit scheduled reports from the Actions menu.
Create a new scheduled report with:

Subject | The email subject line |
Frequency | How often the report runs: Daily, Weekly, Monthly, or Yearly |
Start Date | When the first report is sent |
Recipients | Team members who receive the report |
Report Fields | Data fields included in the report |
Frequency-specific options:
Daily -- Select the hour of day
Weekly -- Select the day of the week
Monthly -- Select the day of the month
Yearly -- Select the month
Click Send report to save the schedule.
The system automatically generates and emails the report at the scheduled intervals.
Notifying establishment contacts
Enforcements do not have a dedicated notification type. To notify establishment contacts about an enforcement action:
Go to Communications > Scheduled messages in the sidebar.
Create a one-off notification targeted to the relevant establishment contacts.
Include details about the enforcement, required corrective actions, and the due date.

What happens next
After printing: The PDF is generated using your organization's enforcement layout and can be saved or printed from your browser.
After exporting: The CSV downloads to your computer and includes the fields you selected.
After sending a report: Team members receive an email with the enforcement data attached as a CSV.
After setting up a recurring report: Reports are automatically generated and emailed on the schedule you configured.
FAQ
Q: What is the difference between Send Report and Edit scheduled reports?
A: Send Report sends a one-time CSV export via email immediately. Edit scheduled reports sets up a recurring report that auto-generates and emails on a daily, weekly, monthly, or yearly schedule.
Q: Can I choose which fields appear in the exported CSV?
A: Yes. Both mail reports and recurring reports allow you to select specific fields using checkboxes before sending.
Q: How do I print an enforcement?
