Using the Portal to Submit Sample Reports

Log in to SwiftComply, find your facility's sample reports, enter results, and sign and submit — all online.

Who this article is for: Industrial users submitting their own sample reports


Overview

If you represent an industrial facility, the portal is where you handle your sampling obligations online: see what reports are due, enter your lab results, attach documents, and sign and submit — no paper shuffle. Your authority sees results as you enter them.


Before you begin

  • Your authority enables portal access for you — you'll receive a registration email the first time. Follow it to set up your SwiftComply account and password.

  • If you represent several facilities, each one grants access separately — ask the authority contact for any facility you can't see.


Finding your way around

After signing in you land directly on your facility's page. If you represent more than one facility, switch using the facility name in the upper-left corner — and if you work across organizations, there's an organization picker too.

Your facility's page shows a read-only summary of the facility and its Sample Reports table — every report assigned to your facility, with its status and due date.


Filling out a sample report

  1. Select a report row to open it. Scheduled and past-due reports are yours to complete.

  2. Enter your results — sample values, dates, and details for each requirement. You can also upload your lab's results file and attach documents.

  3. Save as you go; your progress keeps until you're ready to submit.

💡 Data entry works the same way here as it does for authority staff, including bulk upload of lab results.


Signing and submitting

When the report is complete, sign and submit it. What you see depends on how your program handles electronic signatures:

  • Sign and Submit — type your name and submit.

  • Sign and Submit via CROMERR — your program uses EPA-compliant electronic signatures. If you haven't registered as a signer yet, the button stays disabled with a link to complete your one-time CROMERR signer registration (identity questions and a signing password).

After submitting, the report is locked and your authority is notified.


Made a mistake? Retract and resubmit

A submitted report can be retracted: open it and use the retract action, noting when and why. The report shows a Retracted badge, unlocks for corrections, and the submit button becomes Resubmit Report (or Sign and Resubmit via CROMERR). Your earlier submission stays on record.


FAQ

I never got the registration email.

It's only sent the first time your access is enabled, so it may have gone to an old address. Ask your authority contact to check the email on your contact record.

A facility I represent isn't in the switcher.

Portal access is granted per facility. Ask the authority contact at that facility to enable your access.

The CROMERR submit button is disabled.

You haven't finished signer registration yet. Follow the registration link next to the button to complete it — you only do this once.

I can't edit a report.

It has been submitted, which locks it. Retract it, make your corrections, then resubmit.

I saw "Failed to load sampling requirements".

The report's sampling requirements didn't load, so the page can't show you what to enter. Reload the page and open the report again; if it keeps happening, contact your authority.

Will my authority see results before I submit?

Yes. They see results as you enter them, so partial entry is visible to them before you sign and submit.
