Overview
Tasks let you assign work items to team members and track them to completion. Tasks can be linked to sites, deficiencies, investigations, enforcement cases, and BMPs, creating a clear connection between the work and the relevant compliance record.
Creating a task
The way you create a task depends on the record it relates to. Here's where to add tasks for each context:
Within an Investigation
Open the investigation.
Navigate to the Comments/Follow Up section.
Click Add Response.
Fill in the title, description, and any other fields required by the form.
Click Save.
Within a Deficiency
Open the deficiency.
In the deficiency action log, add a new entry describing the follow-up task or action.
Click Save.
Deficiency-linked tasks and follow-up work are tracked via the deficiency's action log rather than a separate task record.
Task fields
Regardless of entry point, tasks collect:
Title: a short name for the task (required).
Description: detailed description of what needs to be done.
When you create a task, you are automatically assigned as the initial assignee (unless it was created by a system process).
Assigning a task
Open the task.
In the Assignees section, add or change assignees.
Click Save.
Assignment changes are logged in the activity log with messages like 'assigned [name] to task' and 'removed [name] from task'.
Linking a task to records
Tasks can be linked to other records using the Linked Objects system:
Sites: Link to sites that need work.
Deficiencies: Link to specific compliance issues.
Investigations: Link to ongoing investigations.
Enforcement Cases: Link to enforcement actions.
BMPs: Link to BMP implementations.
When creating a task from within a record (e.g., from a site or deficiency page), the link is created automatically. From the Tasks section, you can manually link using the Linked Object fields.
Click a linked object to navigate directly to the related record.
Comments and images
Adding comments
Open the task.
In the Comments section, add a comment describing updates or progress.
Click Save.
Comments track who posted them and when. They can be edited or deleted.
Uploading images
Open the task.
Upload images to document the work.
Image additions, updates, and deletions are logged in the activity log.
Activity log
Every task maintains a complete activity log. Events are automatically logged for:
Created: When the task was created.
Updated: When task details were modified.
Deleted: When the task was removed.
Emailed: When the task was shared via email.
Assignment changes, comment additions, image uploads, and linked object changes.
Each log entry records the actor and a descriptive message.
Investigation follow-up tasks
Tasks can be automatically created from investigation outcomes:
When an investigation's outcome type is configured to create follow-up tasks, saving the outcome creates the task records.
These tasks have due dates and completion tracking.
Completing the task updates the investigation's outcome data.

Q: Who can see tasks?
A: Authority Users can see all tasks. Task visibility follows the same access rules as other records.
