Configuring Instance Settings

Tour of the customer-managed settings — users, BMPs, deficiency levels, statuses, tags, equipment, ESRI, and more.

Overview

Instance settings control how your SwiftComply Stormwater environment works for your organization: who can use it, how sites are classified, how deficiencies are categorized, and more. Only Administrators can access these settings.

Several admin settings (programs, report templates, SSO, time-based reporting requirements) are configured by the SwiftComply team internally. Contact your SwiftComply representative if you need changes in those areas.


Before you begin

  • You must be logged in as an Administrator.


Accessing settings

Click the Settings (gear icon) in the upper right corner of the page. The admin menu opens with the sections listed below.


Available settings

Users

Path: Settings > Users

Manage user accounts, types, and access restrictions. See Setting Up Your Organization and Inviting Users for details.

BMPs (Best Management Practices)

Path: Settings > Best Management Practices

Manage the BMP database. Add new BMPs, organize them into categories, and configure effectiveness ratings.

BMP Categories

Path: Settings > Best Management Practices > Manage Categories (top-right corner)

Create and manage categories for organizing BMPs (for example, Erosion Control, Sediment Control, Good Housekeeping).

Deficiency Levels

Path: Settings > Deficiency Levels

Define the severity levels for deficiencies. Each level has a name and an optional resolution deadline (in days). Levels can be grouped into categories.

Enforcement Levels

Path: Settings > Enforcement Levels

Configure the escalation hierarchy for enforcement actions (for example, Warning, Notice of Violation, Administrative Order, Fine, Consent Decree). Each level has a name and display order.

Site Statuses

Path: Settings > Site Statuses

Define operational statuses for sites. Active and Inactive are present by default; you can add additional statuses (for example, Closed or Under Review) as needed.

Compliance Statuses

Path: Settings > Compliance Statuses

Define compliance classifications with custom names and colors. Each status can be enabled or disabled and scoped to specific programs.

Site Tags and Tag Categories

Path: Settings > Site Tags / Tag Categories

Create tags for organizing and filtering sites. Tags can be permission-based (controlling which Restricted Users can see which sites) and grouped into categories.

Manage Equipment

Path: Settings > Manage Equipment

Track equipment used in field operations. See Managing Equipment for details on adding equipment, configuring equipment types, and assigning equipment to users.

Provider Configurations (ESRI/ArcGIS)

Path: Settings > App Settings > Provider Configurations

Connect your ArcGIS Online account so ESRI feature layers can be displayed and synced into SwiftComply. ESRI/ArcGIS is the only provider configuration set up here.

ESRI Feature Layers

Path: Settings > ESRI Feature Layers

Manage ArcGIS feature layer connections, field mapping, and import settings. See Integrating ArcGIS and Configuring Map Layers for the full setup steps.

Investigations Settings

Path: Settings > Investigations

Customer-facing settings for the Investigations program let you customize the form your users see when logging an investigation. From this page you can:

  • Configure the Refer To selection list (the dropdown options users choose from when referring an investigation).

  • Add one Custom Field with a configurable label that appears on each investigation form.

More advanced configuration of investigation types, event types, and outcome types is handled by the SwiftComply team. Contact your SwiftComply representative if you need changes beyond the Refer To list and Custom Field.

Education Interaction Settings

Path: Settings > Education Interaction

Configure the Selection List (Interaction Types) and one Custom Field for the Education program. See Education Program for the full walkthrough.

Changes to settings take effect immediately for everyone in your instance. Review your changes carefully before saving.


FAQ

Q: Can I add custom fields to sites?

A: Site fields are defined by the programs assigned to each site, plus the Site Profile. Custom fields on inspection forms are configured by the SwiftComply team.

Q: Will changing a deficiency level name update existing deficiencies?

A: The deficiency level name is stored on each deficiency record at the time it is set. Changing the level name in Settings only affects future assignments.

Q: How do I reorder enforcement levels?

A: Each enforcement level has an Order field. Update the Order values to change the display sequence.

Q: Why don't I see Calendar integrations under Provider Configurations?

A: Calendar integrations live inside the Calendar program itself. From the Calendar page, click Connect with Google or Connect with Outlook to authorize. Provider Configurations is for ArcGIS/ESRI only.
