Running and Scheduling Reports

Export data as CSV, send one-time email reports, and schedule recurring reports.

Overview

SwiftComply FOG provides several ways to get data out of the system: dashboard exports, table exports, one-time email reports, and recurring scheduled reports. All exports are in CSV format.

Dashboard compliance exports

Certain Dashboard counter cards include a menu (three horizontal lines icon) that opens filter options. Use these to drill into a specific subset of records, then export from the resulting table.

  1. On the Dashboard, click the three-lines menu icon on a counter card that has one (not every card does). A dropdown of filter tags appears.

  2. You are taken to the filtered table for that record type.

  3. Click Export to download the filtered data as a CSV file.

πŸ’‘ Tip: Adjust the date range on the Dashboard before clicking a counter to narrow the data you export.

Table exports

Every main table in SwiftComply FOG has an Export button that downloads the current view as a CSV file.

How to export a table

  1. Navigate to the table page (e.g., Establishments).

  2. Apply any filters or search criteria to narrow results.

  3. Click Export.

  4. A CSV file downloads to your computer.

πŸ’‘ Tip: Use saved filters to quickly reproduce the same export criteria. Save a filter, then apply it before exporting.

One-time email reports (Mail Reports)

Send a report to team members as a one-time email with a CSV attachment.

  1. Navigate to any table page (e.g., Establishments, Pump outs).

  2. Click the Actions menu, then click Send Report.

  3. Choose Send Now.

  4. Fill in the fields below.

  5. Click Send report.

What happens next

Each selected user receives an email with the CSV report attached. This is a one-time send -- the report is not repeated.

Recurring (scheduled) reports

Set up reports that are automatically emailed on a recurring schedule.

Creating a recurring report

  1. Navigate to any supported table page.

  2. Click the Actions menu on the table page, then click Send Report.

  3. Click Schedule recurring send.

  4. Fill in the fields below.

  5. Click Send report.

What happens next

The report is sent automatically at the configured interval. Each recipient receives an email with a CSV attachment containing the latest data.

Managing recurring reports

Editing a recurring report

  1. Navigate to the table page where the recurring report was created.

  2. Click Edit recurring reports for [table name] (or look for the edit scheduled reports option).

  3. Modify the subject, frequency, recipients, or fields.

  4. Click Save.

Deleting a recurring report

  1. Navigate to the recurring report you want to remove.

  2. Click the delete button.

  3. Confirm: "Are you sure you want to delete this recurring report?"

  4. The report is removed and no further emails will be sent.

FAQ

Q: What is the difference between a mail report and a recurring report?

A: A mail report is a one-time CSV export emailed to selected team members immediately. A recurring report is scheduled to auto-generate and email on a daily, weekly, monthly, or yearly basis.

Q: Which record types support recurring reports?

A: Establishments, GCDs, Pump Outs, Inspections, Enforcements, FSE Permits, Contacts, Providers, Vehicles, and Yellow Grease all support recurring reports.

Q: What format are exports?

A: All exports are in CSV format, which can be opened in Excel, Google Sheets, or any spreadsheet application.
