Setting Up Your Industrial User Account

A guide for Industrial User representatives on setting up your account, navigating the portal, and submitting sample reports in SwiftComply Pretreatment.

Overview

SwiftComply Pretreatment includes a dedicated portal for Industrial User representatives. Through this portal, you can view your facility's profile, see which sample reports are due, enter sampling data, upload lab reports, and submit reports to your authority β€” all online.

Your authority manages your account. They create you as a contact on your facility's record and enable portal access, which triggers an email to set up your login.

Setting Up Your Account

When your authority grants you portal access for the first time, you will receive an email from noreply@swiftcomply.com with a "Set Up Your Account" button.

  1. Click Set Up Your Account in the email. This takes you to a password reset request page.

  2. Enter your email address and submit. You will receive a second email with a link to set your password.

  3. Click the link in the second email and create your password.

  4. Once your password is set, you can log in.

πŸ’‘ Tip: If you have not received the setup email, check your spam or junk folder for a message from noreply@swiftcomply.com. If you still cannot find it, contact your authority administrator β€” they manage your account and can verify that portal access has been enabled.

⚠️ Note: The invitation email is only sent the first time portal access is enabled. If your access was disabled and re-enabled, you will not receive a new email β€” use your existing login credentials.

Logging In

  1. Open your web browser (Chrome, Firefox, Edge, or Safari).

  2. Navigate to the SwiftComply URL provided by your authority.

  3. Enter your email address and password.

The Portal Home Page

After logging in, you arrive at a page showing all facilities where your authority has granted you portal access. If you have access to only one facility, you are taken directly to that facility's page.

Click a facility to open it.

Switching Between Facilities

If you have portal access at multiple facilities, you can switch between them at any time by clicking the facility name in the upper left corner of the page. This returns you to the facility selection page.

Your Facility Page

When you open a facility, you see a single page with two sections:

Facility Profile

A read-only summary of your facility's information, including:

  • Facility name, DBA name, and status

  • Location address and mailing address

  • Property ID, hours of operation, number of employees, phone, and website

  • Permit effective date and expiration date

πŸ’‘ Note: Some fields that your authority can see β€” such as IU types, permit name and number, SIC/NAICS codes, and notes β€” are not displayed in the portal. If any information on your profile is incorrect, contact your authority to request updates. You cannot edit profile details from the portal.

Sample Reports Table

Below the profile, the sample reports table shows all sample reports assigned to your facility (Industry-assigned reports only). The table includes status, configuration name, due date, and submission details. You can filter and sort the list.

Click any report to open it.

Working with Sample Reports

Entering Data

For reports in Scheduled or Past Due status, click the report to open it and enter your sampling data. The data entry experience in the portal is the same as for authority users:

  • Enter results for each analyte in each sampling event

  • Enter flow data if applicable

  • Enter calculated results if applicable

  • Upload lab reports, chain of custody documents, and other attachments

Click Save to store your progress. You can return to the report later to continue entering data.

Submitting a Report

When all data is entered and attachments are uploaded, click Sign and Submit to certify and submit the report to your authority. The certification process requires both your name and the authority reviewer's name, along with the date and time.

Retracting a Submitted Report

If corrections are needed after submission, you can retract a submitted report directly from the portal. Click Retract Report on a submitted report, complete the retraction form, and a new editable version will be created. You can then make corrections and resubmit.

Bulk Upload

For reports with many analyte results, you can use the Upload Results button to upload data via CSV file, the same as authority users.

FAQ

Q: How do I submit a sample report?
A: Open the report from your Sample Reports table, enter your sampling data, upload required attachments, and click Sign and Submit. Your authority can see your data as you enter it, even before you submit.

Q: Can I edit my facility profile?
A: No. Profile information is managed by your authority. Contact them to request corrections.

Q: What happens if I miss a reporting deadline?
A: The report status changes to Past Due. Your authority may follow up directly. Depending on your authority's policies, late or missed reports could lead to violations or enforcement actions. Monitor your Sample Reports table regularly.

Q: I didn't receive my setup email. What should I do?
A: Check your spam or junk folder for an email from noreply@swiftcomply.com. If you can't find it, contact your authority administrator to verify that portal access has been enabled for your contact record.

Q: Can my authority see my data before I submit?
A: Yes. Authority users can see report data as it is saved, even before the report is formally submitted. Submission locks the report and certifies the data.

Q: I have access to multiple facilities. How do I switch between them?
A: Click the facility name in the upper left corner to return to the facility selection page, then choose a different facility.
