The Provider Contacts database is similar to your normal contacts database, however all the contacts in the Provider Contact section have information specific to the Pumper/Hauler they are associated with. Provider Contacts can be associated with more than one Pumper/Hauler.
Please Note: When creating a provider contact, the Invite to Log In button must be checked to invite that contact to create a login to digitally enter pump outs. Otherwise the contact will just be listed in your system with no access.
Create a New Provider Contact:
There are two ways to add a provider contact:
First you can navigate to Contacts>Provider Contacts and select Add Provider Contact.
A blank contact form will appear. Each new contact is required to have a name and associated provider listed. List a provider by typing the first two letters of the provider and selecting them from the dropdown menu. More than one provider can be selected. Click "Save" when finished.
The second way to add a provider contact is to add them directly from the provider page. Navigate to the Providers tab and select the provider you're adding a contact to from the list.
Once on the provider information page scroll down to the Provider Contacts section, and select Manage Contacts.
This will open a blank contact form where a new provider contact can be created. If the contact you are adding already exists select Or associate with existing contact from the bottom of the blank contact form. To search for an existing provider contact start typing the name of the contact and select them from the dropdown menu. This will associate the existing contact with the provider that you are currently editing, along with any other providers they are currently associated with.
Inviting a Provider Contact to Create a Login/Username:
There are two ways to invite a Provider Contact to create a login.
First, when creating a provider contact either from the Provider Contact list, or directly from the provider page, there will be a check box that says Invite to Log In.
By selecting this check box an email will be sent to the email listed in the contact information inviting that contact to create a provider login. Providers have a much more boiled down view of the SwiftComply database. They are only able to add pump outs for establishments that have listed that provider as their service provider in their profile information.
The second way to invite a provider contact is to navigate to that Provider Contact's details page, by selecting the provider contact either from the list of provider contacts, or from the Provider page. Once viewing the contacts details navigate to Actions>Invite and an invitation to create a login will be sent to the email listed for that contact.
Searching for a Provider Contact:
Navigate to Contacts>Provider Contacts to search among your provider contact database.
Provider contacts are searchable by the Provider, the contact Name, Phone Number, and Email Address. Provider contacts can be tagged just like establishments (see tags) and those tags can also be searched. Invited Status refers to if the provider contact has been invited to create a login. The drivers license information can be searched either by license number, state, or by a date range for the license expiration. Finally the provider contacts can be searched by the date they were created.
Any custom properties created for your provider contacts can be searched by going to Add Custom Filter> Add Filter by custom property and selecting the custom filter you would like to search by.
Any filters created can be saved and searched again in the future. First create the search filter you would like to use. In this example we're searching all contacts that have been invited to create logins within the current year. Once the search term is created navigate to Actions>Save Filter, and create a name for your filter.
Now in the future if you want to access this search term again, simply select Add custom filter>Saved Filters, and select the filter you created. Hit apply and your filter will be applied.
*Like all search sections in SwiftComply, any generated table of information can be sent as a one-time, or recurring report by going to Actions>Send Report.
Viewing the Contacts Associated with a Provider:
To view the contacts attached to a provider navigate to the Providers section and select the provider you would like to view. Once viewing the providers details scroll down to the Provider Contact section and any associated contacts will be listed in this area.
