Overview
Each site supports file and image uploads for documentation. Files can be organized into categories and optionally made publicly accessible.
Uploading files to a site
Open the site.
Navigate to the Files section.
Click to upload a file.
Fill in the upload details:
File: Select one or more files from your device (supports multiple file upload).
Name: Optional. Auto-populated for single file uploads.
Category: Select a file category from the dropdown (configured by your administrator in Settings > File Categories). You can leave this blank.
Show on Public Site: Checkbox. If enabled, the file gets a public access link and can be viewed without logging in.
Click Upload.
Maximum file size is 50 MB per file. Files exceeding this limit will show an error message.
Managing uploaded files
Edit a file: Click the file, update the name or category, and click Save.
Delete a file: Click the delete option on the file.
View archived files: Navigate to the archived files section on the site to see historical uploads.
File categories
Administrators can create file categories to organize uploads:
Go to Settings > File Categories.
Create categories relevant to your programs (e.g., SWPPP Documents, Permits, As-Built Plans, Photos).
Categories appear in the dropdown when uploading files. Both program-specific categories and custom instance-level categories are available.
Uploading images
Open the site.
Navigate to the Images section.
Click to upload image files (JPG, PNG, etc.).
Images are stored on the site record and can be referenced in reports.

Q: Is there a file size limit?
A: Yes. The maximum file size is 50 MB per file. There is no limit on the number of files per site.
Q: What file types are supported?
A: The system accepts most common file types including PDF, DOC/DOCX, XLS/XLSX, JPG, PNG, GIF, and ZIP files.
Q: Can I make a file publicly accessible?
A: Yes. Check the 'Show on Public Site' option when uploading. This generates a public access link that can be shared with external parties without requiring a login.
Q: Can I organize files into categories?
A: Yes. Your administrator configures file categories in Settings > File Categories. Select a category when uploading, or leave it blank for uncategorized files.
